In short: A good school fee reminder message goes only to the parent, states the student, amount, due date and how to pay, and stays polite even when fees are overdue. Before sending in bulk, register SMS templates on TRAI's Distributed Ledger Technology (DLT) system, use approved "utility" templates on the WhatsApp Business API, keep promotions out of reminders, and never involve or name the child.

Fee reminders are the messages a school sends most and thinks about least. A vague one gets ignored; a harsh one gets screenshotted and forwarded to every class group. The difference between the two is usually a few words.

This guide gives you school fee reminder messages for parents for every stage of the fee cycle, from the first notice of a new quarter to a final written reminder, each in English and Hindi. It also explains the rules that decide how you can send them: TRAI's SMS regulations, WhatsApp's template system, parents' data rights and, for Delhi schools, the 2025 fee law.

Rules to Know Before You Send

SMS: DLT registration and message types

Bulk SMS from a business in India runs on the telecom operators' DLT platform under TRAI's commercial communication regulations. Your school (or your SMS provider on its behalf) registers:

  • the entity (your school or trust);
  • a header, the sender name parents see;
  • every content template, with placeholders for names, amounts and dates.

TRAI's amendment of February 2025 sorts messages into Transactional, Service, Promotional and Government, and the header carries a matching suffix. In our reading of the definitions, a fee reminder to a current parent fits Service, since it is information about a service the family already uses, while a payment receipt sent right after the parent pays is Transactional. Add an admission offer or an event promotion to either, and TRAI treats the whole message as Promotional, which needs an opt-out and can be blocked by the parent. Links, app links and call-back numbers inside SMS also have to be whitelisted with your provider, or the message won't be delivered.

WhatsApp: the Business app or the API

  • The free WhatsApp Business app is fine for a small school, but a broadcast list only reaches parents who have saved your number in their contacts.
  • The WhatsApp Business Platform (API), used through a provider, can message every parent who has opted in. Outside a 24-hour reply window, every message must use a template approved by Meta. A plain fee reminder is normally a utility template; mixing in a promotion makes it marketing. Since July 2025 Meta charges per delivered template message, and utility templates sent while a parent's reply window is open are free.
  • Opt-in comes first. WhatsApp requires a clear opt-in naming your school. The simplest place to collect it is the admission form: "I agree to receive fee, attendance and school updates from [School] on WhatsApp."

Parents' data

A phone number a parent gives at admission for school communication can generally be used for messages about their own child's fees; the Digital Personal Data Protection (DPDP) Act allows processing for the purpose for which data was voluntarily given. Using the same number to market another branch or a coaching batch is a different purpose and needs separate consent. A Reminder Schedule That Works

One reminder rarely works; five in one week annoys everyone. A calm sequence works better:

What Never to Put in a Fee Reminder

Some practices are not just bad manners; they break the law or court rulings.

  • Never go through the child. NCPCR's Manual on Safety and Security of Children in Schools treats prejudiced treatment of a child for non-payment of fees as discrimination. Send every reminder to the parent.
  • Never name defaulters in a group or on a notice board. Public humiliation of a child over fees is banned in Delhi under Section 13 of the 2025 fee law, with a penalty of ₹50,000 per violation per student.
  • Never threaten to stop classes, exams or results. Delhi's fee law bars withholding results and denying access to classes over fees, and the Delhi High Court has held that a child cannot be kept out of classes or exams mid-session for unpaid fees.
  • Never separate or single out students. In 2025 the Delhi High Court restrained a school from segregating students by fee status.
  • Never send reminders to freeship families. Economically Weaker Section (EWS), Disadvantaged Group (DG) and Children with Special Needs (CWSN) students admitted on free seats study free; make sure your fee system excludes them. Our EWS admission guide explains why.
  • Never mix promotions into a reminder. It turns the message into a promotional SMS or marketing template, and it reads as pressure.

Recovery is still allowed: written reminders, meetings, late fees in your approved structure and, in the end, the formal procedure under your state's rules with notice and a hearing. The rule is simply that the process deals with parents, in private and on the record.
